Making Smart Procurement Decisions When Buying Integrated Audiovisual Solutions

Acuity Audiovisual was selected to present a Supplier Education Session at the Virginia Institute of Procurement Forum2025.  This post is a summary of our presentation to Virginia state procurement professionals.

In today’s fast-paced business environment, integrated technology solutions are no longer a luxury—they are essential. For procurement professionals, understanding how to acquire these solutions strategically can make the difference between a system that empowers collaboration and one that frustrates users. Audiovisual (AV) systems, in particular, have evolved from basic video conferencing setups to immersive, seamless collaboration platforms. This shift demands a new approach to buying.

Why does this matter? Technology is not just hardware; it represents functional value, ease of use, and reliability. Meetings are the lifeblood of organizational decision-making, and AV systems play a critical role in ensuring those meetings are efficient and productive. Poorly designed systems lead to wasted time and diminished engagement, while well-integrated solutions enhance participation and perception.

A consultative AV integrator will assist by starting with a thorough needs analysis— engaging stakeholders, reviewing use cases, and considering lifecycle requirements. They will also provide a relevant technology review, helping you understand the value of available options and innovations. Avoid the trap of ‘how we do it now’ thinking; instead, ask ‘how could we do it better?’ When designing and budgeting, prioritize value over cost. Value engineering ensures you get the best solution for your budget by matching technology to actual use cases.

Ease of use and reliability should be non-negotiable. Look for intuitive interfaces that make complex systems simple, and ensure a consistent experience across rooms and sites. Features like one-touch video conferencing and accessible support can transform user adoption. Reliability comes from planning—redundancy, backup systems, and preventative maintenance agreements are essential for minimizing downtime.

Finally, think beyond installation. Post-award lifecycle management is critical. Service agreements, warranties, and upgrade strategies should be part of your procurement plan. Technology evolves quickly, and planning for major upgrades every 5–10 years or incremental updates annually will keep your systems current and effective.

Integrated technology solutions are an investment in collaboration and efficiency. By partnering with consultative integrators who understand your business goals, procurement professionals can deliver systems that meet today’s needs and adapt to tomorrow’s challenges.
